SL LEARNER SUPPORT AI ("the Platform") is an educational tool developed for students and instructors of the Sabancı University School of Languages. This Privacy Policy explains which personal data we collect, why we collect it, how long we keep it and how it is protected.
1. Who Can Use the Platform
Accounts can only be created with a Sabancı University email address ending in @sabanciuniv.edu. The Platform is not open to the general public and no data is collected from visitors who do not register.
2. Data We Collect
- Account information: your first name, last name, university email address, account role (student or teacher), route, academic term and main language.
- Password: stored only as a one-way hash. We never store or see your password in plain text.
- Email verification and password reset tokens: temporary random codes used to verify your email address and to reset your password. They are deleted as soon as they are used or expire.
- Learning activity data: your answers, scores, written texts, speaking transcripts, listening recordings and the AI-generated feedback produced during listening, reading, writing and speaking activities.
The Platform collects only the data listed above, which is necessary to provide the educational service. No additional personal data is collected beyond what you provide during registration and your learning activities.
3. Why We Use Your Data
- To create and secure your account and verify that you are a member of Sabancı University.
- To generate personalised language-learning activities and feedback.
- To let your instructors review your past activities and progress.
- To send you essential account emails (verification and password reset). We do not send marketing emails.
4. How Long We Keep Your Data
- Unverified accounts: if you do not verify your email address within 15 minutes of registration, your account and all related data are automatically and permanently deleted (deletion takes place 15 to 30 minutes after registration).
- Annual automatic reset: every year on 1 September all data stored in the database (user accounts, sessions, tasks, progress, listening recordings, notebook entries) is automatically and permanently deleted and the database counters are reset, so that the new academic year starts with an empty platform.
- All accounts and activity data: the Platform is reset at the start of each academic term. All user accounts and the activity data linked to them are deleted at that time. If you continue to use the Platform in a new term, you will need to register again.
5. Artificial Intelligence Services
Your activity inputs (for example, your written essays or speaking transcripts) are processed by third-party AI services in order to generate tasks, transcripts, audio and feedback. Only the content required for the activity is transmitted; your password and account credentials are never shared with these services.
SL Learner Support AI is a supplementary learning resource and not an assessment tool; AI-generated feedback is produced only to support your English learning and is not used to grade or evaluate you.
6. Who Can See Your Data
- You can see your own activity history.
- Instructors (teacher accounts) can view the activity history of students in order to support their learning. Scores and percentages are shown only to instructors; students see a performance band. These scores are practice indicators, not official exam results.
- Generated tasks and hints are shared and reused across users; they contain no personal data. Hints you open are saved and reused for other students who receive the same task, and hints opened by others are shown to you in the same way. Speaking tasks may be repeated after 5 different tasks have been completed.
- Platform administrators may access data for maintenance, security and to enforce the Terms of Use. Administrators may suspend accounts that violate the Terms of Use.
- We do not sell, rent or share your personal data with third parties for advertising or any commercial purpose.
7. Security
Connections to the Platform are encrypted (HTTPS). Passwords are hashed with a modern algorithm, and verification and reset links expire automatically. Nevertheless, please keep your password confidential and do not share your account with others.
8. Your Rights
You may request access to, correction of, or deletion of your personal data at any time by contacting us at the addresses below. Since all data is deleted at the start of each term, deletion also happens automatically without any request.
